When a custom CRM makes sense, and when it doesn’t

An off-the-shelf CRM such as Raynet, Pipedrive or HubSpot is enough if your sales process is standard: contact, deal, quote, close. In that case, we don’t build anything and recommend an off-the-shelf system.

On the free estimate call, we’ll tell you which option works better for you. A custom CRM pays off when:

  • Your orders go through more steps than an off-the-shelf CRM can handle without workarounds: production, installation, service, repeat deliveries.
  • Your team still keeps spreadsheets alongside the CRM because they can’t enter what they need into it.
  • You pay license fees for users who only view data in the system.
  • You need a two-way connection to your accounting system or ERP that an off-the-shelf connector can’t provide.
  • You want the code, customer data and access credentials to belong to you.

A CRM or a custom information system?

Companies call it different things: a CRM, an information system, an internal app. It’s one place for the customer, their orders and everything that has happened around them. If you need more than sales, such as tracking service jobs or production, we’ll tell you on the estimate call whether it belongs in the same system.

What a CRM usually includes

We don’t build everything at once. The first version includes what you can’t do without. We add more parts based on how people use the system.

Integration with your accounting software, online store and email

A CRM won’t help if data has to be retyped into it. An inquiry from your website or email is created in it automatically, the invoice is issued in your accounting software, and the order status from your online store appears on the customer’s record.

We build automations in n8n, and where n8n isn’t enough, in custom code. Every integration has a queue, retries and error alerts. How we integrate systems

Data from Excel and your old CRM

We standardize the format, remove duplicates and move over the history you need. Before the switchover, we run the old and new systems side by side, so nothing gets lost in the transition.

Who owns the CRM

The source code, data, access credentials and documentation are yours. If we stop working together, you can hand the system over to anyone else.

Price

The price depends mostly on the number of modules, the number of connected systems, and the amount and condition of the data to be migrated. We’ll give you a ballpark price on the free estimate call. Before development starts, you get a fixed price, not an hourly rate.

Frequently asked questions

Wouldn’t Raynet or Pipedrive be better for us?

Sometimes, yes. If an off-the-shelf CRM suits you, we’ll recommend it. We only build a custom CRM when it pays off.

What about the data we have in Excel?

We move it over. Before the migration, we clean it up and standardize it, so your new CRM doesn’t start out with duplicates.

Can the CRM be connected to our accounting software and online store?

Yes. Before development, we check which systems can be connected and how reliably. If something can’t be connected, we’ll tell you up front.

Who owns the code and data?

You do. The code, data, access credentials and documentation are yours, and anyone else can take over the system.

After launch, we can keep looking after your CRM: we monitor it, fix errors and send you a monthly report.
